POLICIES & TERMS

These policies apply to all rentals, experiences, and services provided by Mobile Event Solutions NJ LLC (“MES NJ”), including but not limited to event trailers, mobile golf simulator experiences, staffing, and add-on rentals.

1. Services Provided

  • Mobile Event Solutions NJ LLC will provide the following services (as applicable per event):

  • The Event Trailer with all included amenities as detailed in the Event Experience Packages details, per the selected Experience Package.

  • (When applicable) A mobile golf simulator setup including: hitting bay, turf, impact screen, launch monitor, projector, laptop/software, clubs (left/right), event staffing, required tables, and all necessary equipment.

2. Client Responsibilities

  • Provide a suitable event space (flat, dry, with access to power).

  • Ensure venue approval for trailer and/or simulator setup (including outdoor/indoor clearance when applicable).

  • Maintain safe conditions for guests.

  • Confirm access times for load-in and teardown

3. Booking & Payment Policy

  • A signed agreement and 50% booking deposit are required at time of confirmed booking to secure your event date.

  • Remaining balance is due 5 days prior to the event date, unless otherwise agreed in writing.

  • Pricing may vary based on event type, duration, location, access, staffing needs, and date availability.

  • MES NJ reserves the right to decline bookings that pose safety, access, or operational concerns.

4. Payment Terms

  • ·Payment Methods Accepted: [Square, credit card, check, cash]

  •  Late payments may incur fees as outlined in licensing terms.

5. Event Services & Delivery Fees

  • Delivery, setup, breakdown, pickup, and standard sanitation are included in all event packages.

  • Delivery mileage beyond the included service radius is billed per mile (round-trip) from Forked River, NJ.

  • Client is responsible for ensuring:

    • Clear access for delivery vehicle

    • Adequate setup space

    • Legal permission to host the event at the selected location

Delays caused by restricted access or inaccurate event details may result in additional fees.

6. Power, Space & Site Requirements

  • An adequate power source (outlet) is recommended unless a generator is included in the rental from MES NJ.

  • MES NJ is not responsible for event interruptions caused by:

    • Power failure

    • Inadequate electrical supply

    • Venue restrictions

  • Client must confirm space requirements prior to booking. Refunds are not issued for site incompatibility discovered on arrival.

7. Weather Policy (Outdoor Events)

  • MES NJ services operate rain or shine unless conditions are deemed unsafe.

  • Severe weather (high winds, lightning, flooding, unsafe ground conditions) may require:

    • Temporary suspension

    • Event modification

    • Early shutdown for safety

  • Weather-related cancellations are handled on a case-by-case basis.

8. Cancellation & Rescheduling Policy

  • A valid credit card or debit card is required to guarantee and pay for your reservation. NO REFUND will be issued in the event of customer cancellation within 14 days of your event.

  • Client-initiated cancellations:

    • Cancellations within 14 days of the event will result in book deposit balance forfeiture

  • We can work with you to reschedule your event at no extra cost, subject to availability.

  • MES NJ reserves the right to cancel due to:

    • Unsafe conditions

    • Equipment failure

    • Acts of God

    • Events beyond reasonable control

In such cases, MES NJ will work with the client toward rescheduling or partial refund where appropriate.

9. Damage, Liability & Security Deposits

  • For specific events where the rental items are left with the Client without MES NJ attendance, the Client will assume responsibility for all equipment during the rental period. In this situation, an additional security deposit will be required.

  • Any damage, loss, excessive cleaning, or misuse will result in forfeiture of the security deposit.

  • A refundable security deposit may be required for extended or high-risk events.

  • MES NJ is not responsible for:

    • Injuries resulting from misuse

    • Damage caused by guests, intoxication, or negligence

    • Loss of personal items

10. Safety, Waivers, Supervision, & Guest Conduct

  • All guests must sign a waiver before participating (digital or paper) in the Mobile Golf Simulator.

  • Only one player allowed in hitting area at a time.

  • Staff reserve the right to pause or stop play for unsafe behavior.

  • Adult supervision of children is required at all times for the Mobile Golf Simulator.

  • MES NJ reserves the right to shut down equipment if unsafe behavior is observed.

  • No alcohol will be provided by MES NJ. All alcohol consumption on behalf of the host/guests must comply with local laws and venue regulations.

  • MES NJ staff may refuse service if conditions become unsafe or hostile..

11. Staffing & Attendant Policy

  • Certain events require a MES NJ event attendant.

  • If an attendant is declined for certain events, the client accepts full responsibility for proper use.

  • MES NJ is not liable for issues arising from unstaffed operation.

12. Liability & Insurance

  • Mobile Event Solutions NJ LLC carries general liability insurance.

  • Client is responsible for damages caused by guests outside normal use.

  • Mobile Event Solutions NJ LLC is not liable for injury resulting from guest negligence or failure to follow safety rules.

13. Add-Ons, Rentals & Consumables

  • Add-on items are subject to availability.

  • Pre-packaged consumables (food, beverages, paper goods, ice, etc.) are non-refundable once delivered.

  • Substitutions may be made if specific items are unavailable.

14. Branding, Photography, & Marketing

  • MES NJ may capture photos or videos during events for promotional use.

  • Clients may request exclusion from marketing content in writing prior to the event.

  • All branding, logos, and materials remain the property of Mobile Event Solutions NJ LLC.

15. Right of Refusal

MES NJ reserves the right to refuse service to any client or event that:

  • Violates local laws

  • Poses safety risks

  • Misrepresents the nature of the event

  • Fails to comply with these policies

16. Agreement Acceptance

By booking services with Mobile Event Solutions NJ LLC, the client acknowledges and agrees to all policies outlined on this page.
